Terms & Conditions – Exceptional Safaris
Welcome to Exceptional Safaris. By booking with us, you agree to the following terms and conditions. Our services are designed for discerning travelers seeking luxurious and unforgettable safari experiences in Tanzania and East Africa. Please read carefully.
1. Booking & Reservations
All bookings must be confirmed in writing via our official channels.
A deposit of 30% of the total trip cost is required to secure your reservation.
Full payment must be received 60 days prior to the safari start date.
Exceptional Safaris reserves the right to cancel reservations if payments are not made on time.
Special requests such as dietary preferences, vehicle types, or private guide arrangements should be communicated at the time of booking.
Changes to bookings may incur additional charges depending on availability.
2. Cancellation Policy
Cancellations more than 60 days prior to departure: 75% refund of deposit.
Cancellations 30–60 days prior: 50% refund of total trip cost.
Cancellations less than 30 days prior: no refund.
Exceptional Safaris may cancel a trip due to unforeseen circumstances (e.g., natural disasters, political instability). In such cases, clients may choose a full refund or reschedule the trip.
Trip interruptions or early departures initiated by clients do not entitle them to a refund.
3. Payment Terms
Payments can be made via bank transfer, credit card, or approved payment platforms.
All payments must be received in full 60 days before the start of the trip unless otherwise agreed in writing.
Any bank fees, transfer charges, or currency conversion costs are the client’s responsibility.
Late payments may result in automatic cancellation of the booking.
4. Travel Insurance
All clients are strongly encouraged to obtain comprehensive travel insurance covering trip cancellation, medical emergencies, lost luggage, and evacuation.
Exceptional Safaris is not responsible for any personal losses, accidents, or medical expenses incurred during the safari.
5. Health & Safety
Clients are responsible for ensuring they meet all recommended vaccinations and health requirements.
Safari experiences involve wildlife, natural terrain, and environmental risks. By booking, clients acknowledge these risks.
Guests must follow all safety instructions provided by guides and staff.
Exceptional Safaris reserves the right to refuse participation in activities if a guest is deemed a safety risk.
6. Liability & Responsibility
Exceptional Safaris acts as an intermediary for accommodations, transport, and other third-party services.
We are not liable for losses, injuries, or damages caused by third-party providers.
Our liability for any direct loss arising from our services is limited to the total amount paid by the client.
Guests accept responsibility for personal property during the trip.
7. Force Majeure
Exceptional Safaris is not responsible for events beyond our control, including but not limited to: natural disasters, severe weather, political unrest, strikes, pandemics, or government restrictions.
In such cases, we will make every effort to provide alternative arrangements or reschedule, but no refunds are guaranteed unless specified.
8. Photography & Media
Exceptional Safaris may capture photographs or videos for promotional purposes.
By booking, clients consent to media usage.
Guests who prefer not to be photographed must notify staff in writing before the trip begins.
9. Privacy & Data Protection
We respect your privacy and comply with GDPR and international data protection laws.
Personal data collected during booking is used solely to manage your safari experience.
Your information will never be sold to third parties.
Payment and personal data are securely stored and processed.
10. Safari Conduct & Guidelines
Guests must respect local cultures, communities, and wildlife.
Smoking, alcohol consumption, and waste disposal should follow the instructions provided by staff.
Exceptional Safaris reserves the right to remove guests from the trip if their behavior endangers themselves, others, or the experience.
11. Governing Law
These Terms & Conditions are governed by the laws of the United Republic of Tanzania.
Any disputes arising from bookings or services will be resolved in Tanzanian courts.
12. Exclusive Safari Experiences
Luxury accommodations, private vehicles, and personalized guides are provided where booked.
Exceptional Safaris does not guarantee exclusive access unless specifically arranged in writing.
Any special amenities, helicopter rides, or premium experiences are subject to availability and additional charges.
13. Changes to Terms
Exceptional Safaris reserves the right to update these Terms & Conditions at any time.
Updated terms will be communicated to clients via email or our official website.
Continued use of our services constitutes acceptance of updated terms.
